Polycom Trio 8800 — Conference Room Phone Setup

The Polycom Trio 8800 is a conference-room speakerphone that provisions on Signal like any desk phone: MAC + model in the portal, assigned to a room extension (never a person's). Its microphone array covers a 6-meter radius — one unit handles most conference rooms without expansion mics.

Deployment pattern

1. Create a dedicated extension named for the room ("Boardroom", "Conf Rm 2") with a description; hide it from dial-by-name if your directory is user-focused.
2. Add the Trio by MAC against that extension and the room's location — E911 applies to conference rooms too.
3. Trim dialing permissions: internal + external, international off, and no voicemail box (or a box nobody must check — prefer none).

Using it

• Touch Answer/Call; dial like any phone. The huge Mute bar glows red when muted — visible across the room by design.
• Three-way calling works as on desk phones (Confrnc flow); for larger meetings, dial into a conference bridge — the Trio is then just a very good speakerphone.
• Bluetooth/USB pairing lets laptops use the Trio as a meeting speaker/mic where enabled.

Room acoustics beat settings

Persistent "they can't hear us" complaints in a glass-walled room are physics: hard surfaces and HVAC noise. Center the unit, keep laptops off its faces, and treat the room before touching phone settings.
