Voicemail User Guide — Setup, Checking, Greetings
Your voicemail box answers when you can't. First-time setup takes two minutes at your desk; after that, check messages from your phone, any other office phone, or your email if your administrator enabled voicemail-to-email.
First-time setup
- Press the Messages (envelope) key.
- Enter the PIN your administrator gave you; change it when prompted.
- Record your name, then your greeting.
A useful greeting states who you are and when calls are returned: "You've reached [name] at [organization]. Leave a message and I'll return your call the same business day."
Checking messages
- At your desk: Messages key → PIN (some desks are configured PIN-free) → 1 to listen.
- From another office phone: dial your own extension, press
*during your greeting, enter your PIN. - By email: each message arrives as an audio attachment, seconds after it's left.

Vacation greetings
Record a temporary greeting (mailbox options → greetings) before time away — it overrides your normal greeting until you delete it, and the system reminds you it's active when you return. Include who to contact in your absence.
The message light won't turn off
The lamp reflects unheard messages, including ones delivered days ago. Play or delete everything in the inbox, including saved messages; if it persists, tell your administrator.
