How to Report a Phone Problem So It Gets Fixed in One Touch

Most phone problems can be fixed in one interaction — if the first report contains the facts that let support find the exact call in the logs. Vague reports ("phones acting weird") turn a five-minute fix into a three-day email chain. Include these five facts.

The five facts

  1. Your extension (and the site/office you're at).
  2. Date and time of a specific failing call — approximate is fine.
  3. The number involved — what you dialed, or the caller's number.
  4. What happened — exactly what you heard or saw ("rang once, then fast-busy", "caller heard nothing for 5 seconds").
  5. What you expected — especially for routing issues ("this should have gone to the front desk, it went to voicemail").

Every call on the system leaves a detail record; facts 1–3 let an administrator pull the exact call and see where it went. Without a time and number, they're searching haystacks.

Also worth one sentence

  • Is it one phone or several? One user or the whole office?
  • Did anything change — new phone, moved desk, office network work?
  • Screenshot or photo of the phone's screen if it shows an error.
