The Recordings Library — Prompts, Greetings, and Audio Assets
The recordings library holds every audio asset your routing plays — menu prompts, announcements, after-hours messages. Voicemail greetings live separately (recorded per box); everything else routes through this library, referenced by name from menus and routes.
Uploading and recording
- Upload: MP3 or WAV, under 15 MB. Mono, 8 kHz+ WAV is the safe telephony format; the platform transcodes as needed.
- Record in the browser for quick internal prompts, or record from a desk phone for consistent handset-quality audio.
- Professional prompts: order all variants in one session (same voice, same levels) — a menu that changes voices mid-tree sounds broken.
Naming conventions that scale
Recordings multiply fast (day/night/holiday × languages × locations). Name by function, versionless: MainMenu-Day-EN, Closure-Holiday-ES — and replace contents rather than uploading ...-v2-FINAL files, so routing references never need rewiring.
In-use tracking
The library shows which recordings are referenced by active routing ("in use") and which are orphaned. Audit quarterly: delete orphans, and treat any prompt older than a year as due for a listen — hours change, staff names change, and stale prompts erode caller trust more than silence would.
What not to put here
Hold music has its own pipeline and licensing rules; voicemail greetings belong to their boxes. This library is for prompts the system speaks.
