Shared and Departmental Voicemail Boxes

A shared voicemail box serves a role — front desk, billing, after-hours — rather than a person. The mechanics match any box; what makes shared boxes succeed or fail is ownership: one named owner per box, an email fan-out for visibility, and a rule for who clears messages when.

  1. Create the box with a role name ("Billing Mailbox"), not a person's.
  2. Enable voicemail-to-email to a team address — everyone sees new messages without a phone.
  3. Keep delete-after-delivery off so the phone's message light still reflects unheard messages; clear the box from the phone as messages are handled. (If the team truly works from email, invert this — but pick one system of record.)
  4. Set the greeting to state a response expectation ("we return calls the same business day") — it measurably reduces duplicate calls.
  5. Document the owner and backup. An unowned shared box fills silently until a caller complains.

Compliance: shared boxes routinely capture protected health information. Restrict the receiving email list accordingly, and include shared boxes in your retention schedule.
